Build a Lead Follow-Up Draft Agent Without Losing the Human Touch
October 23, 2026

Editorial note: this is a practical guide, not an independently tested customer case study.
Fast follow-up matters only if the reply is relevant and correct. A useful first sales agent prepares a message from the actual inquiry and approved offer information. It does not invent availability, discounts or a previous relationship.
Define the record
Capture lead ID, name, reply address, source, inquiry text, service requested, permission status and assigned owner. Store the original submission timestamp. Don't let a model decide whether an address has consented to marketing; use the actual recorded preference and applicable sending rules.
Build the draft queue
Connect the form to your CRM or spreadsheet. Check the lead ID before creating anything. Retrieve the relevant service description. Ask for a short acknowledgment, one relevant benefit and one question that helps the owner qualify the inquiry. Write the output as a draft with a source link.
Keep the message specific
For an inquiry about a two-location booking system, reference those two locations and ask about court counts. Don't open with a generic paragraph about transformation. If a required fact is absent, put it in a missing-information field rather than making it up.
Test the difficult inputs
Try a duplicate submission, an empty message, a request outside your services, a pricing question with no approved price and text that tells the agent to ignore its rules. None should trigger an automatic send. The duplicate should return the existing record.
Measure the right outcome
Track arrival-to-draft time, approval rate, editor minutes and reply-to-meeting rate. Faster drafts are helpful; booked revenue needs separate attribution. Keep a manual control sample so seasonal demand isn't credited to the agent.
Download the follow-up recipe, replace its fields with your actual form schema and run five synthetic leads before enabling it for the team.
Next step: Browse the use-case library, start with one useful task, or estimate your workflow costs.
